FAQ
What’s the business case for this in one sentence?
Preventing just one contract auto-renewal, or enabling a renegotiation of an existing contract with unfavourable terms, will typically give ROI on the cost of the App.
Can’t I just store contracts in SharePoint or Google Drive?
Our App is easy to fully configure the front-end UI and specific user permissions for different user groups. You decide what up to 5 different user groups e.g. a Super Admin, Procurement, Finance, Legal, or Contract Owners can each see, comment and edit. It can send automated notifications prior to contract expiry, or when a contract has been amended or added.
The front end UI in SharePoint is limited in terms of configurability and does not have an intuitive UX. Google Drive is super easy to use, but the UI is standard and it can’t support automations unless you write custom code.
If there’s no ongoing SaaS subscription, how does it work?
We have a Master Version template of the App. We duplicate this and configure your App according to the requirements you specify during the intake process. Our $3,499 fee covers the consulting, configuration, training, and handover of the App to you.
You then need to pay ongoing monthly or yearly hosting fees. The app is built and hosted in a No Code builder called Softr. We transfer the App from our Softr account to yours during handover. You’re therefore in full control of info security and your data. You pay for hosting directly to Softr at the price advertised on their website. There is no mark-up from us. Then, any ongoing maintenance can either be managed by us, or someone in your team can assume the role of Super Admin.
Who is this best suited to?
Small procurement teams, high growth companies, and organizations with less than 500 employees are our ideal customer profile. How customizable is the App?
It’s extremely versatile in terms of the front end UI and the form fields you wish to have for your contract metadata.
Exchange rates can also be updated as often as you wish, to show spend in one base currency. User groups can be fully configured. Simple automations can be applied e.g. notifications prior to contract expiry dates.
We don’t include in the price any custom integrations and workflow orchestration with your existing tech stack. However, the open API and native connectability with Make, Zapier, and n8n easily enables your IT team to configure this after handover.
Do you offer free trials?
No, we don’t, but we can give you temporary access to the sandbox version for a few days to test the look and feel. This will allow you to explore and discover what configurable front-end options you may want to have in your App.
What’s the difference between this and CLM software?
Traditional Contract Lifecycle Management (CLM) software was designed primarily for Legal Departments in enterprise organizations, with the price tag to match.
CLM software is essentially a document repository with additional features to support pre-signature legal processes such as authoring, redlining, and approval workflow management.
Our App isn’t legaltech. We’ve built a robust but minimalist contract repository and notification tool, which enables Procurement and Finance to easily see and review all spend under contract.
By the way, it could also be used to store sales / customer contracts too, with a bit of minor customization. Reach out to us if that’s something you’re keen to do!
How secure is my data?
You would have a contractual relationship with Softr for hosting your app. They are headquartered in Berlin, Germany and have secured $15.7m in Seed and Series A funding. They hold SOC 2 Type II certification, and their data is hosted on AWS servers located in the European Union. It’s completely transparent, unlike trusting your data to a startup or an offshore software development agency.
